Art Party Guidelines
What does the party fee include?
Included
- All art materials
- Aprons to wear while in the workshop
- Finished masterpiece for each child to take home
- Experienced Art Tutor to run your art workshop
- Personalised Art Est. Party e-Invitations to email your guests
- Exclusive use of the Art Est Gallery for your party
- We have trestle tables 1.8 metres long each for the food and refreshments
- Use of Art Est. kitchen. We have a fridge/freezer (large enough for ice-cream cakes), a microwave oven, and a small toaster oven. The kitchen and all equipment used must be cleaned at the end of your event.
How many children can attend a party?
A minimum booking of 10 children (in addition to the birthday child) can attend. Extra attendees can be added on for a flat rate (depending on the activity) per child up to a total of 15.
Who can attend?
We also ask that you minimise the number of adults attending and request other parents to drop and go. Family members are welcome to stay.
Is there a minimum age?
Yes. Our parties are for children 5 years and over, including any guests participating in the art workshop. Younger siblings are welcome to come to the party and be supervised by parents in the gallery while the art workshop is taking place.
What do I need to bring?
You bring the following items if you wish
- Birthday cake
- All Catering (party food and refreshments)
- Paper cups, plates, napkins etc
- Tablecloths
- Decorations (if you wish)
How does the party work?
Parties run for 2.5 hours in total. The usual format is 2 hours for the activity, followed by 30 minutes party time in the party space located in the Art Est Gallery. This is where you will set up for the birthday cake, party food, photos etc.
Food or drink must not be served or consumed in the art studio where the party activity is taking place. Food and drink must only be served and consumed in the party space.
On the invitation we supply, you will see that we suggest that invitees plan to arrive 15 minutes prior to the start time to ensure the party activity gets underway on time. We also make recommendations on what to wear – it can get messy!
What time should we arrive? When can I arrive to set up decorations etc? Where do I set up?
The studios will be open for you 30 minutes prior to the start time so that you can set up your catering and decorations. As the activity and party area are separate, you will have plenty of additional time to continue setting up while the kids start their activity.
What time do we need to leave?
Please ensure children are collected and all tidy up is completed within 15 minutes of the agreed finish time.
When is payment of the balance due?
The balance of payment to be settled 5 days before the Party when final numbers are to be confirmed. Final charges will be based on the number of children attending the Art Party or the guaranteed number, whichever is greater.
What do I do with rubbish?
You will need to pack up and remove all party rubbish and take away decorations, so please remember to bring a garbage bag with you.
Who can attend the art workshop?
The art activity is held in a different studio to where you will serve the food. Due to limited space and to ensure the comfort and enjoyment of everyone, only invited children and parents of the birthday child can be present in art workshop. Other children and adults will not be permitted in the art room during the party, but are welcome (at your invitation) to attend the 30 minutes refreshments/party time following the art workshop.
Can we take photos during the art party?
Yes! Please take as many photos as you wish to record your child’s birthday. We may also take photos of the artwork and Art Party to be used by Art Est. for promotional purposes. (Please advise if you do not wish Art Est. to take photos.) Make sure you tag Art Est. if you share the photos on facebook @artestartschool or instagram #artestforkids
What happens if I need to cancel or change the party date?
Your deposit is non-refundable, but you may reschedule if you notify us in writing at least 7 days before the party date. Should Art Est. be unable to provide the party booked due to circumstances beyond our control, no further claim other than a full refund may be made. Art Est. will endeavour to give reasonable notice.
What happens if some children become disruptive?
It is the organising parent’s responsibility to ensure children behave in an orderly manner at all times. Art Est. reserves the right to remove any child from the art room if their behaviour is unreasonable or potentially disruptive towards the well being of others.
What if we leave, lose or break something?
Art Est. will endeavour to take all possible care but accepts no responsibility for damage or loss of equipment or other property left on the premises prior to, during and after the Party. Art Est. recommends that guests carry their personable valuables at all times. You will be financially responsible for any damage sustained, or loss incurred, to Art Est’s property, fixtures or fittings, whether through your own action or the action of their guests at the Art Party.
Privacy: Information you supply to Art Est. will not be disclosed outside the school without your express consent, except where required by law. Art Est. will from time-to-time send mail and email to students and past students for the purpose of marketing. Should you not wish to receive mailings from Art Est. please notify us that you wish to unsubscribe and you will be removed from our mailing list.
